1. Who We Are
Crew Connect (“we”, “us”, “our”) operates the Crew Connect maritime recruitment and crew wellbeing platform. We are the data controller for personal data processed through the Platform. Contact: ashley.dadd2@gmail.com
2. What Data We Collect
Seafarers
- Identity: name, date of birth, nationality, gender
- Contact: email address, phone, WhatsApp, home address
- Professional: rank, certificates, sea service records, DP log, endorsements
- Documents: passport details, Seaman’s book references (numbers only, no scans stored by default)
- Usage: login timestamps, profile views, job applications, Knowledge Check / Decision Simulator attempts
Recruiters & Companies
- Identity: name, company name, email
- Billing: subscription history (payment card details are held by our payment processor Stripe only)
- Activity: searches, shortlists, messages sent, positions posted
- Company documents: if you upload your own SMS/procedures to build a company-specific Knowledge Check pack, we hold that file and any scope notes you provide until the pack is delivered, solely to draft and deliver that pack back to you — see our Data Processing Agreement for how we handle documents you upload as a business customer
3. Legal Basis for Processing
- Contract: to provide the Platform service you have signed up for
- Legitimate interest: fraud prevention, platform security, analytics
- Legal obligation: financial record-keeping, responding to lawful requests
- Consent: marketing emails (you may opt out at any time)
4. How We Use Your Data
- To display your profile to relevant recruiters (seafarers) or to candidate search results (recruiters)
- To process job applications and send notifications
- To generate MLC-compliant contract templates
- To send platform and certificate expiry alerts
- To improve the Platform through aggregated, anonymised analytics
5. Blind Hiring
Crew Connect supports blind hiring by default. Recruiters see candidate reference codes rather than names or photos until they choose to reveal a profile. This reduces unconscious bias. You may opt out of blind hiring in your recruiter settings.
6. Data Sharing
We do not sell your personal data. We share data only with:
- Recruiters on the Platform — when you (a seafarer) are actively looking and your profile is visible
- Stripe — for payment processing (their privacy policy applies)
- Email service providers — solely for transactional platform emails
- Law enforcement — when required by law
7. Data Retention
We retain your account data for as long as your account is active. If you delete your account, personal data is removed within 30 days. Anonymised analytics data may be retained indefinitely. Financial records are kept for 7 years as required by UK law.
8. Your Rights (UK GDPR)
You have the right to:
- Access a copy of the data we hold about you (GDPR export via your portal)
- Rectification of inaccurate data
- Erasure (“right to be forgotten”)
- Restriction of processing
- Data portability
- Object to processing based on legitimate interests
- Withdraw consent at any time where consent is the basis
Exercise any of these rights by emailing ashley.dadd2@gmail.com or via the GDPR Export/Delete options in your portal settings. We will respond within 30 days.
9. Cookies
We use strictly necessary cookies for session management and login. We do not use advertising or third-party tracking cookies. Analytics are processed server-side and do not require consent cookies.
10. Security
We implement industry-standard security measures including HTTPS encryption, hashed passwords, and access controls. No system is completely secure; please protect your password and notify us immediately if you suspect unauthorised access.
11. Changes to This Policy
We may update this Privacy Policy and will notify you by email. The current version is always available at this URL.
